Remind whoever still has to sign
While an envelope is waiting for signatures you can send a reminder to whoever is missing with "Send reminder", from the envelope's own page. The deadline is not extended: if the envelope expires without all the signatures, a new one is sent.
On this page
Before you start
- An envelope already sent that not everyone has signed yet.
Where the actions are#
Open the envelope from the Signatures list by clicking its row. At the top, in its summary, you see the date sent, when it expires, the progress and the status, and three buttons:
- "Download PDF", to download the document.
- "Refresh status", to bring in signatures that have just arrived.
- "Send reminder", to remind whoever is missing.
Further down are the "Signing progress", the "Signers" with the status of each one and the "Envelope timeline", with everything that has happened.
The "···" menu on each row of the list is not for this. To send a reminder, open the envelope.
Remind whoever is missing#
- Click "Refresh status". That way you know for sure who has already signed.
- Click "Send reminder". An email goes out to whoever has not signed yet.
Cancel an envelope#
There is no button to cancel an envelope on its page.
If the deadline runs out#
An envelope's deadline cannot be extended. If the expiry date arrives and a signature is missing, the envelope becomes "Expired" and, if the document still needs to be signed, you have to send a new envelope. That is why it is worth reminding whoever is missing before the deadline ends.
What happens next#
- The envelope's status changes depending on what has happened. The statuses of an envelope explains how.
Frequently asked questions#
Does Sttok send reminders on its own?
No. The reminder goes out when you click it, so you always know which emails the signers have received.
Can I give an envelope more time?
No. If you know someone is going to take a while, remind them before the deadline ends. If the envelope has already expired, send a new one.
Can I remind just one person?
The reminder goes to whoever still has to sign. If only one person is missing, only they receive it.

- The statuses of a signature envelope An envelope is "Sent" while it waits for signatures, "Completed" when everyone has signed and "Expired" if the deadline arrives and someone is missing. The status depends only on who has signed and on the date, so it changes on its own.
- Send a document for signature A document is sent for signature in an envelope. In Signatures, "New signature" asks you for the document, the role and the person who signs, and a message. From a general meeting, the minutes are sent with "Request signature". Each signer receives an email to sign, and in Sttok you see who has signed and who is missing.
- The minutes and their signature Sttok drafts the minutes and the certificate of resolutions with the data of the general meeting: the chair and secretary, the attendees and the result of each item. In the Minutes tab you review them and click "Request signature". In the Signatures tab you track who has signed.
