Fill in an operation by reading the deed

To have Sttok read the deed, choose "Capital increase AI" or "Sale and Purchase AI" in the "Add Operation" menu. You upload the document, click "Read with AI" and Sttok fills in what it says: the dates, the notary, the shares and who takes part. What it reads stays marked until you review it. If you don't want it read, tick "Don't fill in the form with this document".

Before you start

  • The operation's deed as a PDF, complete and legible.
  • Knowing what type of operation it is. Reading is available for two types: the share capital increase and the sale and purchase.

How to do it#

  1. Open the form with reading. In Transactions, go to "Transactions List", click "Add Operation" and choose "Capital increase AI" or "Sale and Purchase AI". The usual form, "Capital increase" or "Sale and Purchase", doesn't read the document.
  2. Upload the deed and ask for it to be read. In the first step, "The deed", upload the file. In "Capital increase AI" click "Read with AI". Sttok fills in what the document says: the dates, the notary, how many shares the resolution approves and who subscribes.
  3. Review what it has filled in. Each piece of data read stays marked until you review it. Check it against the paper: the notarial details and, in the next step, the parties, the shares and the numbering.
  4. Complete what the deed doesn't say. The "Registration date", which is the date of the entry in the register of registered shares, and the "Comments" are yours to enter: they're not data from the document. Click "Next".
  5. Review and register. Both forms have three steps. In "Capital increase AI", "The deed", "The capital increase" and "Review"; in "Sale and Purchase AI", "The deed", "The transfer" and "Review". In the last one you see the whole operation before registering it.

Reading proposes, it doesn't register. Data filled in automatically and left unchecked is exactly what ends up registered wrongly. That's why it stays marked: check each item against the deed before registering.

If you don't want it to read the document#

In the first step of "Capital increase AI" there's a checkbox, "Don't fill in the form with this document". With it ticked, Sttok doesn't open the file: it stays attached to the operation and you fill in the fields yourself. It's useful, for example, for an annex that doesn't describe the operation. You can also use the usual form, "Capital increase" or "Sale and Purchase", where the document is just an attachment.

What happens next#

  • The deed stays attached to the operation, in the Deeds tab of its record.
  • The operation is registered with the details you've left, whether read or typed by you. Once saved, it's an operation like any other.

Frequently asked questions#

Can I read the deed of an inheritance or a split?

Today reading is available in "Capital increase AI" and "Sale and Purchase AI". Other operations are filled in by hand, with the deed as an attachment.

The deed mentions shares the seller doesn't have.

Check the register of registered shares before correcting the data. It may be a typo in the deed or an earlier operation that hasn't been registered yet.

Which documents can it read?

Capital increase and sale and purchase deeds. A poor-quality scanned document may be read only partly: whatever it doesn't find, you fill in yourself.
