Open and close voting
With the general meeting convened, switch on "Voting active" on its card in the list so that shareholders can vote from their page, record in the Votes tab the votes of those voting in the room and, when you finish, click "End meeting": voting closes and the result of each item is fixed.
On this page
Before you start
- The general meeting must be "Convened".
- It is best to have recorded attendance first: that way you can run the vote with only those in the room.
Open voting#
- Switch on "Voting active". It is the switch on the general meeting's card in the Meetings list. Inside the meeting, in the Votes tab, there is no switch. From that moment, shareholders can vote from their page.
You set the voting period when you created the general meeting, in "When can people vote?": from when the secretary opens voting until they close it, or from when the notice is sent until the secretary closes it.
Record the votes in the room#
Those who vote from their page need nothing else: their vote comes in by itself. For those who vote in the room, or on whose behalf a representative votes without using Sttok, you record the vote in the Votes tab.
- Choose the item. Under "Votes", with "Select vote".
- Click "Select attendees". The list is narrowed to those who attend or are represented.
- Record each shareholder's vote: Yes, No or Abstain.
How to read the result#
The "Items" table shows, for each one, how the votes are split between "Yes", "No" and "Abstain", and its "Result". While the general meeting is still open, the result is provisional. Click "Count votes" to fetch the latest votes received.
When you end the general meeting, each item becomes "Approved" or "Rejected" according to the majority you set when you created it. You can download the table with "Download".
Close voting and end the general meeting#
- To pause, switch off "Voting active" on the card in the list. Nobody can vote from their page until you switch it on again.
- When you finish, open "Actions" and click "End meeting". Sttok warns you how many shareholders still have no attendance recorded. When you confirm, the general meeting becomes "Held", voting closes and the result is fixed.
Ending cannot be undone. After you end the general meeting, you cannot record a single further vote or change attendance. Check first that all the votes from the room are in.
What happens next#
- The minutes and the certificate now include the result of each item. Continue in The minutes and their signature.
- Each shareholder sees the result and how they voted on their page.
Frequently asked questions#
I made a mistake recording a vote.
As long as the general meeting is still convened, record the vote again with the correct choice.
A shareholder has already voted from their page. Can I see it?
Yes: their vote appears in their row in the Votes tab. There is no need to record it again.
What about items that are not voted on?
Information-only items, such as "Any other business", are created with "None" in "Response/voting type" and have no result.
