Send reminders to those who have not responded

With the general meeting already convened, open "Actions" and click "Send reminder". You choose who it goes to: all participants, only those who have not yet appointed a proxy or voted, or the ones you select. It goes out with "Send now".

Before you start

  • The general meeting must be "Convened". A draft has no one to remind yet.

How to do it#

  1. See who is missing. Open the general meeting and go to the Attendance tab. The "Pending" figure tells you what part of the share capital has not responded yet, and the "Attendee list" shows each shareholder.
  2. Click "Actions" and then "Send reminder".
  3. Choose who it goes to. There are three options: "To all participants of the meeting", "To participants who have not yet delegated or voted" or "To selected participants", in which case you mark who yourself.
  4. Click "Send now".

The reminder can go to everyone, to those who have not appointed a proxy or voted, or to whoever you choose.

What the shareholder receives#

An email reminding them that the general meeting will be held on a given date, with a link to their page for the meeting, where they can appoint a proxy or vote.

What happens next#

  • As shareholders respond, they drop out of "Pending". Click "Refresh attendance" in the Attendance tab to see the list up to date.

A reminder is not a new notice. If you have changed the date, the venue or the agenda of the general meeting, the reminder does not explain it: tell them separately. Whatever the law and your articles of association say about how to change a notice already sent is not resolved by a reminder.

Frequently asked questions#

Who counts as "not responded"?

With "To participants who have not yet delegated or voted", the reminder goes to those who have not yet done either. If you want to choose yourself, use "To selected participants".

Can I send more than one reminder?

Yes. Each time you choose again who it goes to.

Does it also reach the representatives?

Yes. It goes to the participants you choose and also to whoever represents them, such as the guardian of a minor or the representative of a company.
